This policy covers the PEP HQ marketing website and platform. It explains how we collect, use, share, and protect information when schools, administrators, volunteers, and families use our websites and services. Schools may also maintain their own privacy notices and policies, which apply to the information they control.

PEP HQ generally processes school-community information on behalf of subscribing schools. The school determines which users receive access and what information is entered into the platform.

PEP HQ may separately control limited business information collected through the marketing website, demo requests, billing, and account administration. That information helps us respond to inquiries and operate the company.

The information we collect depends on how the website and platform are used.

Information users provide may include name, email address, school or organization, account and role information, volunteer interests, skills, availability, and participation, event registrations and sign-ups, messages, announcements, files, and event content, fundraising and transaction-related records, and support requests or contact form submissions.

Information collected automatically may include IP address, browser and device information, login and security events, pages and features used, approximate location derived from IP address, and cookies or similar technologies needed to operate the site.

Payment information: Payment card details are processed by third-party payment providers. PEP HQ should not receive or store complete card numbers.

We use information to:

PEP HQ is intended to support school community operations. Schools should only provide information appropriate for that purpose.

PEP HQ is not intended for children to create independent accounts without school or parent involvement. Parents or guardians should contact their school regarding information connected to a school-managed account.

PEP HQ will work with schools to respond to appropriate access, correction, or deletion requests. This policy does not claim FERPA, COPPA, or state-law compliance certification.

Information is retained for as long as needed to provide services, meet contractual commitments, protect the platform, resolve disputes, and satisfy legal obligations. School-controlled data may be deleted or returned according to the applicable agreement.

PEP HQ uses reasonable administrative, technical, and organizational safeguards, including access controls and encrypted connections where appropriate. No system can guarantee absolute security, and users should also protect their accounts.

The marketing site currently uses only technologies needed to operate and secure the service. We have not installed optional analytics tools on this website. If that changes, this section will be updated to name the tools in use.

Users may:

• Update certain account information
• Manage communication preferences
• Contact their school about school-controlled data
• Contact PEP HQ about marketing or business information
• Request access, correction, or deletion where applicable

The specific rights available to you may depend on where you live and on whether the school or PEP HQ controls the information.

PEP HQ may link to or work with outside services, including payment processors and school tools. Those services have their own privacy practices. This policy does not cover them.

PEP HQ is based in the United States. If you use the website or platform from another country, information may be processed in the United States.

We may update this Privacy Policy from time to time. The effective date at the top of this page will be revised when we do. We will communicate material changes when appropriate.
