These Terms of Service explain the rules that apply when schools, administrators, volunteers, and families access or use PEP HQ.
Effective date: September 20, 2026
By accessing or using PEP HQ, you agree to these Terms of Service. If you are using PEP HQ on behalf of a school or organization, you represent that you have authority to accept these Terms for that organization.
A school or organization may also have a signed agreement or order form with PEP HQ. Those documents may contain additional terms. If a signed agreement or order form conflicts with these public Terms, the signed agreement controls.
You may use PEP HQ only if you are authorized by a participating school or organization and if you provide accurate account information. You must keep that information current.
Parents, volunteers, and other family users may access only the information their school makes available through PEP HQ. Access is based on the roles and permissions the school assigns.
The subscribing school or organization controls account access, user roles, event information, and the materials it uploads. It is responsible for deciding who may use PEP HQ and what information is entered.
Schools are responsible for obtaining appropriate permissions and for using PEP HQ in a way that is consistent with applicable laws and school policies. This includes volunteer, communication, fundraising, and event-related information the school chooses to store in the platform.
Users must protect their login credentials, use only their own accounts, and notify PEP HQ promptly of suspected unauthorized access. Do not share passwords or allow others to use your account.
PEP HQ may suspend accounts that appear compromised, unused without authorization, or used in a way that violates these Terms.
You may not use PEP HQ to:
Schools and users retain ownership of the content they provide, including event plans, files, messages, volunteer details, and fundraising materials.
You grant PEP HQ a limited right to host, process, display, and transmit that content only as needed to provide, secure, and improve the service. This license does not transfer ownership of school or user content to PEP HQ.
Our collection and use of information is described in the Privacy Policy.
PEP HQ is designed for school community operations, including events, volunteers, family communication, and fundraising. It is not a student information system. Schools should only enter information needed to coordinate that work.
PEP HQ does not claim FERPA, COPPA, or similar certification in these Terms.
Subscription fees, onboarding fees, transaction fees, and payment terms are established in the applicable order form or checkout experience.
Third-party payment processors may handle transactions. PEP HQ does not store complete payment card numbers.
Refunds, disputes, tax treatment, and fundraising compliance may depend on the school, campaign, processor, and applicable agreement. Schools are responsible for the accuracy of campaign and offering information they publish.
PEP HQ may integrate with hosting, database, email, analytics, and payment providers. Those providers may have separate terms and availability. PEP HQ is not responsible for outages or practices of services it does not control, except as stated in a signed agreement.
PEP HQ may update, improve, interrupt, or change the service from time to time. We will make reasonable efforts to provide advance notice of material changes when practical. Temporary interruptions may occur for maintenance, security, or circumstances outside our control.
PEP HQ owns the platform, software, visual system, branding, and documentation, excluding school and user content. These Terms do not grant you any right to copy, modify, or distribute PEP HQ materials except as needed to use the service.
PEP HQ may suspend or terminate access if these Terms are violated, if fees are unpaid under an applicable agreement, or if continued use creates a security, legal, or operational risk. What happens to account data after termination is subject to the school’s agreement and applicable law.
PEP HQ is provided as a school operations platform. We work to keep the service reliable, but we do not promise that it will be uninterrupted, complete, or free of errors. Information entered by schools and users is their responsibility. Except as required by law or a signed agreement, PEP HQ is provided on an as-available basis.
To the extent allowed by law, PEP HQ is not liable for indirect, incidental, special, or consequential damages, including lost fundraising proceeds, lost data, or lost time, arising from use of the service.
Except for liability that cannot be limited by law, PEP HQ’s total liability for claims relating to the service is limited to the fees paid by the subscribing school or organization for the service during the twelve months before the claim.
If you are a school or organization using PEP HQ, you agree to defend and indemnify PEP HQ against claims arising from content you upload, your users’ conduct, or your use of the service in violation of these Terms or applicable law, except to the extent the claim is caused by PEP HQ’s own misconduct.
These Terms are governed by the laws specified in the applicable agreement with the subscribing school or organization. If no agreement specifies governing law, the laws of the State of Minnesota apply, without regard to conflict-of-law principles.
We may update these Terms from time to time. The effective date at the top of this page will be revised when we do. We will communicate material changes when appropriate, including by posting an updated version on this page.
